Your Role

Sales Administration

  • Handling incoming order and work out delivery schedule and reply customer
  • Maintain open order listing
  • Coordinate with Finance department for order /credit release
  • Goods issue in iScala for sales order
  • Distribute shipping document to customers
  • Prepare statement and follow up payment with customers
  • Handle customer quality complaints, file complaint via QFR system and follow up report
  • Coordinate defective samples return to manufacturing internal and external plants via GSQA
  • Prepare replacement or credit to customer per evaluation result
  • Arrange sample to customer
  • DG goods approval coordination and arrangement
  • Import & Export declaration, verify payment record & filing
  • Obtain shipment/delivery quote from forwarder to support sales order or new project
  • Monitor Customer Service level

 

Finance Matters

  • Credit Monitoring
  • Prepare statement and issue payment reminder to customer
  • Monitor incoming payment and notify related Sales, Finance & CS colleague 
  • Issue receipt, collect payment and bank in payment
  • Prepare monthly AR report

 

Warehouse Management

  • Recon ciliate daily inventory movement report from 3PL 
  • Monitor goods receive progress in Scala system & 3PL system 
  • Handle delivery incident, delay or accident 
  • Monthly charges verification and coordinate payment for 3PL 
  • Cycle count arrangement @3PL
  • Warehouse supplies monitoring – Plastic pallet & packaging materials etc.
  • Prepare month end inventory and GIT report
  • Year-end stock count coordination. 

 

Cell Purchasing

  • Create Purchase Order in Scala system 
  • Assure PO to arrive on time and expedite schedule when needed
  • Maintain stockpos worksheet with shipment arrival schedule for order promising 
  • Collect required shipping documents and invoice from supplier and send to 3PL for receiving arrangement
  • Coordinate with 3PL the shipment receiving priority and goods pick up arrangement 
  • Follow up payment for suppliers 
  • Provide monthly forecast communication with external suppliers
Requirements
  • Degree in Business/Supply Chain/ Logistics
  • 5 years minimum in OEM Customer Services or Sales Administration with a reputable MNC
  • Able to work independently and possess strong customer service mindset
  • Knowledge and understand of import & export is advantageous
  • Must be familiar with the order processing and sales cycle
  • Fluency in Cantonese, Mandarin & English
